How to organize sort and ship orders from your first live show

This guide is written for someone who has never sold on Whatnot before.

It walks through what happens when you sell an item how to keep orders organized during a live show and how to ship everything correctly after the show ends.

After this you should be confident enough to start your first show – good luck!

    1. How selling on Whatnot actually works

When you go live on Whatnot you list items for auction or buy it now.

Viewers place bids and when the timer ends the highest bidder wins.

Each win becomes an order inside Whatnot.

If the same buyer wins multiple items those items are grouped together into one shipment.

You do not need to combine anything manually. Whatnot does it for you.

Your job is to make sure you know which physical items belong to which buyer.

    2. The biggest mistake new sellers make

New sellers try to remember who bought what in their head.

    This always leads to mistakes.

The correct way is to track every sold item the moment it sells using a simple system so nothing gets mixed up.

    3. What you need before you go live

Before your first show you should have

    • A stack of small sticky notes or index cards
    • A thick marker
    • One empty box or bin for each buyer you will have
    • A table or floor space where you can line things up

If you do not have bins use shoe boxes grocery bags or small boxes.

Each buyer gets their own space.

    4. What to do the second an item sells

When an item sells do this immediately:

    1. Look at the buyer name on screen
    2. Write the buyer name on a sticky note
    3. Stick that note to the item
    4. Place the item into that buyer’s box or pile

    That’s it.

Do not put sold items in one big pile.

Do not set them off to the side without a name.

Do not assume you will remember.

Every sold item must be labeled and placed into the correct buyer area.

    5. When a buyer wins more than one item

If the same buyer wins again

You do not need a new note if the item is going into the same box.

    You can either:
    • Put it directly into their box
    • Or add another sticky note with their name if you want extra safety

All their items stay together from the moment they are sold until they are shipped.

    6. After the live show ends

When your stream ends go to your Seller Hub and open your Orders page.

You will see a list of buyers and what they purchased.

Each buyer will have one shipping label even if they bought many items.

Now go to your physical boxes.

Open one buyer box at a time and compare the items inside with what Whatnot shows for that buyer.

If it matches you are ready to pack.

If something is missing or extra you catch it now instead of after it ships.

    7. Packing each order

    For each buyer:

    • Put all their items into one shipping box
    • Add packing material so nothing moves
    • Seal the box
    • Print their shipping label
    • Stick the label on the box

Then move that box to a finished pile.

Never print all labels first and guess which box is which.

Always pack one buyer then print their label then move on to the next.

    8. Final check before dropping off

    Before you leave to ship:

    • Look at each box
    • Read the name on the label
    • Make sure it matches the buyer name from your order list

This prevents almost every shipping error.

    9. Why this system works

    This method works because

    • Items are labeled immediately
    • Nothing ever sits unassigned
    • Each buyer has a physical space
    • You verify everything before shipping

Even sellers doing hundreds of orders per show use this exact system just with bigger bins.

    10. Your first show will feel chaotic and that is normal

At first it feels fast and stressful.

After a few shows this becomes automatic.

If you label and box every item the moment it sells you will not lose items and you will not send the wrong orders.

That is the most important skill you can have as a Whatnot seller.
